Case Study #1:
A large community college district in the Central Valley passed a local bond measure and began a major facilities development program. With more than a dozen projects going at multiple campuses, the job of program management became very complex and in some cases overwhelming. In addition to the usual challenges that accompany large construction projects, working within the community college system with funding from a local area bond adds many more.
Preparing the month-end reports for the chancellor's office, the college's board of trustees and other compliance reports, required more than 100 hours of work. The project data was stored on a multitude of Excel spreadsheets. Ultimately, the data was migrated to Prompt. Month-end reports are now generated in under an hour.
Another challenge that faces program managers is the need to understand the guidelines and regulations in the chancellor's office facilities manual. Prompt was designed and built by professionals well acquainted with these regulations. The result is a program that helps project manager and support staff comply with the relevant chancellor's office regulations and bond reporting requirements. It also helps them bring their projects in on-time and within budget.

Case Study#2
A project at College X has been approved by the Chancellor’s office but the funds have not yet been released. Prompt will automatically prohibit the project managers from processing a vendor invoice pending release of these funds. This system message "Prompts" the user to investigate the status of the 14D.
Case Study#3
A board member phone the president of College Y is asked for some up-to-date numbers. How much of the bond have we spent? How far along are we on the new LRC project? The president logs into Prompt, generates a couple of reports and emails them to the board member.
Case Study #4
Various departments at College Z receive inquiries from students, faculty, community member and the media as to the status, timeline and description of various construction projects that are in process at the College. With APPRISE, a centralized website offers up-to-date details on the project. This data can be easily maintained and modified without any programming or specialized web design knowledge. Information can be provided such as road, room and building closures.
Reporters calling the President’s office for updates on Bond funded projects, can be directed to the APPRISE system for up-to-date information online.
